Information for Session Presenters

  1. All the presenters, except the Student Paper Competition (SPC) finalists and the Young Scientist Award (YSA) recipients, must complete the Pre-Registration (with all the payments done) by July 15, 2010, in order for the papers to be included in the Final Program and the Conference Proceedings.
  2. The one-page abstracts that have been submitted to AP-RASC'10 will be used for publication of the Conference Proceedings (CD-ROM) and the authors do not have to prepare final manuscripts for the Proceedings.
  3. All the presenters should prepare their presentation materials and bring them to the conference site in September.

Guidelines for Oral Presentations

  1. The time length of an oral presentation is 20 minutes, including a 5-minute discussion. As for the SPC Special Session, the time length of each presentation is 45 minutes, including a 15-minute discussion.
  2. Each session room will be equipped with a computer and an LCD projector. The operating system for the session room computer will be Microsoft Windows 7, with PowerPoint 2003, 2007, and 2010 installed. All the presentation materials need to be compatible with these versions.
  3. Each session room computer will be equipped with USB ports and a CD-ROM drive to read a USB flash memory stick and a CD-ROM, respectively. The presenter must load the presentation file by him/herself onto the computer through these media. The presentation file should be named using the Presentation Number and the presenter's family name; if the presentation number is "A1-1" and the presenter's name is "Kobayashi," the file name should be "A1_1_Kobayashi.ppt" Put underscores (_) instead of hyphens (-) for the file name.
    Be sure to put the file into the folder of your session, which should be found on the desktop of the session room computer. Be careful not to erase other presenters' files.
  4. The presenters should load the presentation data onto the session room computer prior to the start of the session. The session rooms will be open during the following hours, when there is no session running.

  5. The presenters must gather in the scheduled session room 15 minutes before the start of the session, where they can meet the session chairs and confirm the presenters' names and the paper titles.
  6. In general, connecting your own computer to the projector in the session room is not recommended. Note that no additional time will be allotted for making or undoing such connections. If you exceptionally need to do this, you should do a test on connecting your computer to the LCD projector in the Internet/Rehearsal Room prior to the start of your session. Note that the computer must have a socket for an RGB connector (D-sub 15) to be plugged in, but not all computers are guaranteed to be connected to the projector at the conference site. You should bring the presentation data in a CD-ROM or a USB flash memory stick just in case.
  7. Please be aware that no overhead projectors will be available.
  8. Typically, one viewgraph takes about one minute to present. Please practice and time your presentation in advance. Additional viewgraphs may be prepared to support possible answers to attendees' questions. Each viewgraph should not be crowded with text and graphics. Too much text should be avoided. Viewgraphs should support the presentation; they should not be simply read out by the presenter. Graphics help in communications, and are generally more understandable for pointing out the basic ideas.
    Use large fonts so they can be read without major effort:
    typically, at least a 20-point font should be used (and 28 points as a minimum font size is better). Remember that your presentation has to be followed easily by those sitting in the back of the room! Also, be sure to use standard fonts. Special fonts such as"Monotype sports" or "Windings" may not be installed in the session room computer. Please do not use local language fonts.

Guidelines for Poster Presentations

The Poster Session will be held in the Foyer on the 2nd and 3rd floor of the conference site from 15:30 to 17:30, September 25, 2010.

  1. Each poster board is 210 cm high (about 82.7 inches) and 120 cm wide (about 47.2 inches).
    These poster boards are made of composite materials, suitable for mounting presentations with push-pins, which will be available at the conference site. A sign of the Presentation Number will be set on each poster board by the AP-RASC'10 organizers by 12:00 on September 25. Please set up your presentation materials between 12:00 and 15:30 on the same day, and be sure to complete setting them up before the Poster Session starts.
  2. Presenters are requested to stay at their posters during the session hours (from 15:30 to 17:30).
  3. Posters must be removed by the presenter her/himself by 18:00.
  4. Each poster should be headed by the title of the paper, the names of the authors, and their affiliations. Small figures and too much text should be strictly avoided.
